"We were spending so much time on manual data entry," Ed Ramoska recalls. "Every load confirmation, every rate con, every status update - it all required someone to manually type it in or copy-paste information. It was eating up hours of our dispatch team's day."
The problem
The paperwork chaos was real. Documents were scattered across emails, phone calls, and various systems. Finding a specific rate confirmation or BOL could take 15-20 minutes of searching through email threads. "We had no centralized document management," Ed explains. "Everything was just floating around."
Customer visibility was another pain point. Customers would constantly call asking for updates, pulling dispatchers away from their core work. "We needed to give our customers self-service access to their shipment information," Ed says.
And like many carriers, EMR struggled with having too many disconnected systems. "We were using MacroPoint for tracking, Four Guides for various needs, and our TMS didn't integrate well with our ELD system. It was a patchwork of solutions that didn't talk to each other."
The stakes were high
The impact wasn't just about wasted time. Document chaos led to billing errors and customer complaints. Dispatchers spent their days firefighting paperwork issues instead of optimizing loads. Driver onboarding and settlements were slow, affecting retention. The operational inefficiency was creating real business problems.
