Order paperwork: checked between delivery and invoice

An order's Documents tab now opens with its invoicing packet: which papers are in, which are still outstanding and one action for each. After delivery the papers are checked against the order, and the packet shows what the check found and who has the next step.

Order paperwork: checked between delivery and invoice

Between delivery and the invoice, someone has to make sure the rate confirmation, the bill of lading and the proof of delivery are all in, and that they agree with the order. That work now happens on the order itself: the Documents tab shows what is missing, what the paperwork check found and who has the next step.

The invoicing packet comes first

The order's Documents tab now opens with its invoicing packet. By default the rate confirmation, the bill of lading and the proof of delivery are required, and the lumper receipt and the scale ticket are optional. Each paper is a coloured segment, and the packet says how many papers are outstanding or that it is complete.

Every outstanding paper gets one action that fits why it is outstanding: add it, bring its empty card into view so the file can be dropped in, or open it for review. A paper of a type that is not read automatically, such as the rate confirmation, counts as present and is marked Not machine-checked.

What the paperwork check found

Once an order is delivered, its papers are checked against the order, its stops, its rate confirmation and its charges. The packet shows the result: a status such as Review needed, how many checks ran, when the papers were checked, and each open issue as a plain sentence, for example a rate confirmation from a different company than the one the order bills.

Choose Checks next to Pages and Read all to see every check, grouped by paper, with failures first. Open one to see the two values it compared, then accept it with a reason, fix the order, or ask the driver for a corrected paper. A decision you clear can be brought back with Undo in the toast.

The Checks view: a failed check with both values side by side, and what you can do about it.

When every check passes, Verify paperwork marks the order's paperwork verified. If something is still open, Verify anyway asks for a reason and a note, and the packet keeps who verified it, when and why.

Who has the next step

The packet names who owns the paperwork and why: the order's dispatcher while a paper is waiting on the driver, Accounting when a decision is needed. People who verify paperwork can hand it to a colleague with a note from the packet's menu, and the Checks view opens with Assigned to you when it is yours.

To ask for a better copy, use Request a fix on a paper, a page or the document viewer: pick a reason and the pages it concerns, and add a note. The driver who sent the paper gets a push in their own language, and the paper shows whether it is waiting on the driver or a new version has arrived.

Documents review, as a queue

Dispatch > Documents now sorts papers into All, Flagged, Not checked and Passed, each with a count. A flagged paper says why on its row, with every reason in the side panel. In review mode, approving or rejecting a paper moves on to the next one, and field changes you have not saved are kept while you move between papers.

Setting it up

Open Settings > Document Types > Orders and pick Invoicing packet. Verification has three modes: Off checks nothing, Trial checks delivered orders and keeps the results without acting on them, and On shows the results to everyone working the order. Trial is the starting point, and in Trial only people with the Verify Order Paperwork permission see the results.

Settings: choose how the invoicing packet is verified, Off, Trial or On.

Below it, every check is listed with what happens when it fails: ask the driver, review needed, blocks verifying or note only. Switch a check off, or open it to read why it matters and change its outcome. Changing the mode or a check needs the Manage Paperwork Verification permission.

Every check in the packet, with what happens when it fails.

Two more settings help the checks along. Send automatic fix requests to drivers, on the Document Types page, asks the driver right away when the check finds something they can fix. Turn it off to confirm each request first. And Settings > Orders > Invoice item categories now says what each category counts as, because charges are checked only when every category on the order is mapped.
